Cold email templates for 2027, by situation
The right template depends on why you are writing to this person now. If there is no reason, no template will supply one.
Pick a cold email template by the situation you are writing into, not by how clever it sounds. Each of the five below starts from a reason to write now, and each one says when it fails. Fill in every bracket with something true and specific, or do not send it.
For the structure beneath any good cold email, start with cold email templates that still work. This post is about choosing one for the moment.
When someone has just started a new role
Subject: [area they now own] at [company]
Hi [name],
Saw you moved into [role] at [company] last month.
People in that seat at [type of company] often inherit [specific problem] first.
We [one sentence on what you do about it].
Is that on your list yet, or is something else ahead of it?This works because the timing is real and the question is easy to answer. It fails when the problem you name is one everyone in the role has, because then the role change was only an excuse to write.
When someone did not reply last year
Subject: [topic], a year on
Hi [name],
I wrote to you about [topic] last year and it clearly was not the moment.
One thing has changed since: [specific change at their company or on your side].
Worth another look, or should I leave this with you?Only send this if something did change. Check first that the person never unsubscribed or asked you to stop, and that they are still in the job. For replies within the same sequence, use the cold email follow-up instead.
When budgets are being set
Subject: [cost or problem] in your [year] plan
Hi [name],
Teams like [similar company type] usually decide how to handle [specific problem] when they set the year’s budget.
If that is on your list, here is the one number worth having first: [specific figure you can back up].
Want the working behind it?This offers something useful before asking for anything. It fails if the figure is invented or cannot be defended, because the reply will ask for the working.
When you have a mutual connection or a referral
Subject: [mutual contact] suggested I write
Hi [name],
[Mutual contact] mentioned you are the person handling [area] at [company].
They thought [specific reason it is relevant to you].
Would a short note on how that works be useful?Use this only with permission from the person named. A borrowed name that turns out to be false ends the conversation, and may reach the person you named.
When an agency is pitching a new client
Subject: [their service] pipeline at [company]
Hi [name],
Looked at how [company] brings in [type of customer]. It seems to lean on [channel you can actually see].
We run outbound for [similar client type]. The work is [what you do], and what you would judge us on is [the measure].
Worth comparing notes on whether outbound fits?Naming the measure is what separates this from every other agency pitch. Do not promise a number of meetings you cannot stand behind. More on running this as a business is in starting a cold email agency.
What must every template include?
- A real, identifiable sender.
- A working way to opt out, honoured the first time.
- What the law requires where you and your recipient are. CAN-SPAM, GDPR and CASL obligations sit with the sender.
Why a good template can still get no replies
If the message is not arriving, the words never get a chance. Before rewriting the copy, run the pre-launch audit, and judge nothing on fewer than 200 contacts.
Frequently asked questions
Which cold email template should I use?
The one that matches why you are writing to this person now: a new role, a change since last year, budget season, a referral, or a specific view of how they find customers. With no real reason, no template will help.
Can I email someone again if they did not reply last year?
Yes, if they did not unsubscribe or ask you to stop, and if something has actually changed that gives you a reason to write.
Do cold email templates still work in 2027?
A template gives you structure. What makes it work is a true, specific reason to write, and that part cannot be copied.
